Personalization: Custom Instructions and Personal Memory

Tell MAIA how to answer you, and let MAIA remember short notes about you and your work.

Last updated 1 day ago

The “Personalization” page in your settings is where you tailor MAIA to you. It has two features:

  • Custom Instructions: you write down how MAIA should answer, such as the language, tone or format you prefer.
  • Personal Memory: MAIA remembers short notes about you and your work, such as your role, and uses them in later chats.

Both settings belong to your account, not to a workspace. They apply in every workspace you're a member of, and only to you.

To open the page, click “Settings” in the sidebar, then “Personalization” under “Account”.

Custom Instructions

  1. Open “Settings” > “Personalization”.

    “Custom Instructions” field
  2. In the field under “Custom Instructions”, describe how MAIA should answer. For example:

    • “Always answer in English, even if the documents are in German.”
    • “Keep it short and use bullet points.”
    • “I work in procurement. Always cite the source for prices.”
  3. That's it. Your instructions save automatically.

Good to know:

  • You can enter up to 2,000 characters. The counter below the field shows how much you've used.
  • Your instructions apply from your next message, including in chats that are already open.
  • They also apply in incognito chats.
  • If your current request conflicts with an instruction, MAIA follows your current request.
  • Any guidance your workspace has set for MAIA still applies on top.
  • Don't enter passwords or other credentials in the field.

Personal Memory

“Personal Memory” section in the settings

MAIA remembers up to 100 short notes about you and your work, such as your role or how you like your answers. It uses them in your chats across all your workspaces.

Turn it on or off

Under “Personal Memory” you'll find the “Use Personal Memory” switch. When it's on, MAIA uses your notes and learns new ones from your chats. When it's off, MAIA doesn't use any notes and doesn't create new ones.

“Use Personal Memory” toggle

When Personal Memory was turned on for you, MAIA may also have looked through up to 30 days of your earlier chats, excluding incognito chats. Your existing chats and answers never change.

Add notes

  • In chat: just tell MAIA what to remember, for example “Remember that I prefer short answers.” “Saved to memory” then appears below the answer. If you mention several things at once, MAIA may save them as separate notes. If MAIA can't tell what to remember, a yellow note says “Not saved to memory. MAIA could not tell what to save.” Then state the fact again as a clear sentence of its own.
  • Automatically: MAIA picks up relevant details from your conversations and saves them as notes.

Review, edit and delete notes

  • In settings: under “Saved notes” you see all your notes and how many of the 100 slots are in use. Each note shows how it was created, for example “You asked MAIA to remember this”, and when. Use the pencil to edit a note and the bin to delete it. Deleting happens right away, without a confirmation.
  • In chat: ask MAIA to correct or forget something, for example “Forget that I work in Berlin.”
  • Delete everything: “Delete Personal Memory” removes all notes at once.

Privacy and incognito

  • Only you can see your notes. Other people in your workspace, including admins and the owner, have no access to them. The notes belong to your account, not to a workspace. - Incognito chats never use or change Personal Memory. If you don't want MAIA to remember anything from a conversation, start it as an incognito chat. See Share your knowledge with your team (Insight Hub) for how.
  • Because notes apply across all your workspaces, a note from one workspace can show up in another. Check what's saved from time to time and delete notes that contain confidential details.
