Smart Onboarding & Role Personalization

What it is: MAIA collects your department and role information during our smart onboarding to provide personalized, context-aware responses throughout your experience, on an enterprise-level.

How it works:

  • Step 1: New users see a brief demo of core MAIA features (workspace, file manager, chat)

  • Step 2: Users complete a short form with name, department, and role description

  • Step 3: MAIA uses this information to tailor all future responses to your specific role and responsibilities

What MAIA learns:

  • Your first name (for personal greetings)

  • Your department (from standardized dropdown)

  • Your specific role and responsibilities (from your description)

How this improves your experience:

  • Personalized greetings that acknowledge your role

  • Context-aware suggestions relevant to your department

  • More relevant follow-up questions and recommendations

Note on Analytics

Team leads and admins can contact their AE to get statistics on usage that include department-level analytics and breakdowns.

Updating Settings

These settings can always be updated inside the personal settings dialog inside MAIA.

Interaction with other Features

The role selection can interact with other features, like the “custom system prompt.” For instance a custom system prompt can be adapted to make the tone of voice less formal for the core product team, while making it more formal for everyone who manages customer conversations.

Personalized Greetings:

"Hello Sven! How can I help you today? As MAIA, I can assist you with various tasks related to your role as Head of Product. Whether you need information about MAIA itself, help with documents, or have questions about product development and GTM strategies, I'm here to support you."

Role-Specific Advice:
